RELEASE OF INFORMATION

Many health organizations label the ROI service as a “copy service”. When describing their function, the response is usually “They copy records.”. Sound familiar? Release of information done properly is so much more than just copying records. When partnering with Kemberton, we will bring value to your facility and help positively affect your bottom line. Some of the benefits of partnering with Kemberton are listed below:

  • Centralization of release process through one company thereby increasing compliance and efficiency.

  • Expedite the turnaround time for requests to the business office which in turn decreases the number of days in AR.

  • Allows HIM staff to focus on their core responsibilities and leave the labor intensive process of ROI to us.

  • Comply with RAC and other audits in record speed.

  • Peace of mind knowing that our training program ensures that our employees are well informed on issues concerning HIPAA, HITECH, ARRA, and other regulations.

  • Audit trails for every record and request that enters our system.

  • Advanced technology including scanning, virtual printing, workflow tracking, electronic audit trail, electronic importing, microfilm/microfiche conversion, backfile conversion, and many more.

  • Interface for most EMR/EHR systems so that we can cross reference the master patient index and ensure reliability of patient information.

THE ROI PROCESS: MORE THAN JUST COPYING

There are many steps involved in the complex ROI process. Our process allows us to make those involved accountable for each step along the way. Below are some of the steps involved in the ROI process:

  • Logging and tracking the request in our electronic tracking system

  • Verify that the request is compliant with state and federal regulations

  • Scan, import, copy, and convert all formats from all systems into our tracking system

  • Verify that all information gathered meets the requirements per the request

  • Review information and verify that sensitive information is not contained and/or require additional authorization for this sensitive information requested.

  • Print, burn to CD, mail, apply postage to the outgoing records

  • Field customer service calls from attorneys, insurance companies, workers compensation carriers, state disability, etc.

  • Archive the requests for proof of processing

  • All of the above benefits are gained through the use of our onsite team and technology. We also have a partnership program for those organizations that want to utilize their own employees to do the processing of the requests, but need our technology and back-end collections processes to tie it all together.
